Basic tasks:
Organizing all the processes and procedures related to the exam process, including the following:
1.Follow-up the preparation of preliminary examination schedules by the deans of colleges and the heads of scientific departments in colleges at least a week after registration, and approve it in the Directorate of examinations, and coordinate with the deans in case of changes according to student programs
2.Coordinate with the Directorate of student affairs by counting the number of students enrolled in each course to determine the number of Halls needed to take the exam of each course before distributing students to them.
3.Coordinate with the services directorate to count the available exam halls and ensure their readiness to conduct the exam process before being included in the exam schedules.
4. Photocopying the exam questions in the presence of a scheduled teacher only during the week before the test / exam maximum and ends one day before the start of the exams according to the schedule sent by the Directorate of examinations
5.Distribute tasks to the employees of the examinations Directorate before and after any examination process (test or exam) and supervise its performance optimally.
6. A daily schedule of the secret code is drawn up and kept by the director of the Directorate of examinations for reference at the time of need so that the secret code is prepared by the designated employee(director of the rector's office)at the beginning of each exam day
7. handing over and receiving the exam books from the course teachers according to official schedules for receiving and handing over each exam process, monitoring the exam books by the competent monitoring committees, and informing the head of the monitoring committee about any problem in the exam books to do the necessary. After the monitoring process is completed, the course teacher is informed to review the books in which there are problems with correction.
8.Archiving of exam grades aftertheir introduction into the academic system by the examination officer. Then audited by another employee،
9.Transfer the control of cheating and exam hooliganism to the discipline committee, which in turn submits its decisions to the University Council for decision-making, and the exam books containing exam violations are transferred to the director of examinations and then to the discipline committee by the university presidency to make the appropriate decision.
10.Consideration through the objections committee of the test results within a specified period and give the appropriate decision. the objections committee considers them and gives its decision officially to the director of examinations to be implemented.
11. Audit any documents related to grades and exam averages (quarterly mark statements).
12.Issuing lists of the first students at the end of each academic year (first and second semester) to the relevant departments (finance-deans of faculties-university presidency)
13.Issuing statistics of success and failure in all open courses in each semester to benefit from them in evaluating the performance of students in colleges and scientific departments.
14.The implementation of the ministerial decisions and the decisions of the university council related to the examination processes, the system of distribution of grades in each course and the mechanisms of success and failure in the various faculties and departments, the decisions and documents according to which the amendment was made are archived.
15.Preparing the forms of exam publications and following up their printing and inventory at the end of each semester
16.Organizing compensatory tests for students who are approved by the university administration to retake their tests by organizing schedules, preparing exam conditions, distributing students to the halls, and fully supervising the exam process.
17.Preparing the names of graduate students at the end of each semester and sending reports to the concerned parties(University Presidency-college deans-student affairs-finance)
